Description

Notion CRM Template — A Notion workspace for every client, deal and follow-up, with a dashboard that shows who to contact this week and who has gone quiet. Built for freelancers, consultants and small agencies who have outgrown a spreadsheet but don’t need a heavy sales CRM.

What’s inside your Notion CRM Template

Three Linked Databases

1. Clients – status, contact, email, phone, website, industry, source, MRR, follow-up date and next action, plus automatic last contact, days since touch, health, open pipeline and won revenue (22 properties)

2. Deals – client, stage from Discovery to Won or Lost, value, probability, close date, next step, plus automatic open, won and weighted values (12 properties)

3. Activity Log – every email, call, meeting or Slack message, with its date, type, notes and client (5 properties)

Deals and activities are linked to their client, so each client page shows its deals and its full activity history. The template comes with fictional sample data (11 clients, 12 deals, 14 activities) so you can see how it works before adding your own.

Dashboard and 13 Views

1. Home dashboard – follow-ups due this week, clients that need attention, open deals by stage and recent activity

2. Clients – All clients, Active, Needs attention, Leads, Dormant & churned, and a board by status

3. Deals – a Pipeline board, All deals, Open deals, Won & lost

4. Activity Log – Recent activity, a calendar and a board by type

What Updates by Itself

Each client gets a health label from the latest of its Last Touch date and its last logged activity: green up to 14 days without contact, orange from 15 to 30 days, red after 30. Each client also shows its open pipeline and won revenue, and each deal its weighted value (value × probability). It all runs on Notion formulas and rollups: no automation tool, no add-on.

How It Works

1. Buy once and download the setup guide (PDF) with your Notion template link

2. Duplicate the template into your Notion workspace, then clear the sample rows or import your clients from a CSV – the guide shows both

3. Work from the dashboard – about 10 minutes a day for follow-ups and 20 minutes a week for the pipeline review

Why This CRM

Lost clients and lost deals often start the same way: a follow-up that slipped. This CRM puts the next follow-up and the last contact date next to every client, so the quiet ones show up on the dashboard before they leave. It stays small on purpose: three databases you can learn in an afternoon and change as you like.

Pairs Well With

  • Agency Client Onboarding Kit ($29) – start new clients right
  • Project Management Tracker ($24) – run the work once a deal is won
  • Agency Pricing Playbook ($19) – price your proposals

Who it’s for

Frequently asked questions

How is it delivered?
Instant download — a 6-page PDF setup guide with your Notion template link, available right after checkout, with lifetime access. You duplicate the template into your own Notion workspace in one click.

Do I need a paid Notion plan?
No. A free Notion account is enough: the template only uses databases, relations, rollups, formulas and views.

Does it send emails or reminders?
No, it does not send anything. You can add Notion reminders on the follow-up dates if you want a notification.

Can I import my existing clients?
Yes. The guide shows how to bring in a CSV export from a spreadsheet or another CRM with Notion’s Merge with CSV.

What if it’s not what I expected?
Email [email protected] with your order number within 14 days of your purchase and we refund you in full. No forms, no reason needed, and you keep the file.
